Frequently asked questions

Deep links can fail if the ID is invalid, the record was removed, or you are in the wrong company context. Open the entity from the table list and verify the selected company.
Retry from the bill detail view, then open/download the raw file if available. If the issue persists, report the bill ID to support.
Line items may not sum to the bill total for several reasons:
  • Taxes and surcharges are sometimes extracted as separate line items but also included in the total — check for double-counting
  • Credits or adjustments may appear as negative line items that offset the gross total
  • Rounded values — individual line items may be rounded differently than the utility’s own total
  • Partial extraction — some charges (especially footnoted fees) may not have been captured
To reconcile: open the bill detail Charges tab, compare each category against the original PDF (use the Original preview), and edit individual line items as needed. Nectar automatically recomputes the bill total from line items after edits. If line items are systematically wrong for a specific utility, use Reprocess with feedback and describe the pattern so future extractions improve.
Nectar organizes charges into standard categories extracted from your bills:Not every bill has all categories — some utilities combine supply and delivery on one line, others break them into dozens of sub-charges. The Charges tab on each bill shows the full hierarchy. See Cost allocation for how multi-meter bills are split.
Open the bill detail page and compare side-by-side:
  1. Preview the original — click Original to view the source PDF as uploaded
  2. Check key fields — compare service dates, total charges, usage amounts, and meter/account numbers against the PDF
  3. Review line items — the Charges tab shows every extracted charge; verify descriptions and amounts match
If something is wrong:
  • Single field off → edit it directly on the bill detail page
  • Multiple fields wrong → use Reprocess with feedback and describe what Nectar should look for
  • Recurring pattern (same utility always misses a charge type) → email support@nectarclimate.com with the company name and 2–3 example bill IDs so the extraction can be improved globally
Credential visibility is permission-gated. Use reconnect/update flows if you do not have the required role, or ask an authorized admin to perform the action.
Review identifiers on both records — open the bill PDFs and compare the numbers. Use this decision tree:
  1. Same physical meter, same utility, identifier or billing account changed (the utility reissued the meter number, or billing moved from a consolidated account onto individual accounts) → Link meters. Every row stays; usage history joins the current meter. Reversible. Rows may sit on different accounts. See Meter groups.
  2. Accidental twin (Nectar created two rows that should have been one: same account, same identifiers, same utility) → Merge meters. All usage combines onto one surviving meter. Requires the same account and utility type. Cannot be undone.
  3. Uploaded spreadsheet vs a live connection, no overlapping days (for example a 2024 spreadsheet used to backfill a connection that starts in 2025, from the same utility) → Link meters. Merge cannot cross accounts, and one-time uploads are often not attached to an account.
  4. Same physical device billed twice (utility/delivery vs supplier, landlord vs retailer, or a spreadsheet that overlaps connection months) → Mark as duplicate. That drops the extra series from usage; cost still counts. Primary and fallback is the same problem with gap-filling: we prefer the primary and fill missing days from the other meter. Grouping is an advanced feature — email support@nectarclimate.com if you need it enabled. Do not link overlapping series — that would add both bills.
  5. Different physical devices that happen to share a similar identifier → Neither action needed. Add a distinguishing identifier or rename the meter to clarify.
Impact of merging on cost data: After a merge, all historical cost allocations recompute using the combined meter’s usage. Analytics and exports retroactively reflect the merged state. Merge is irreversible — verify in the merge preview before confirming.See Meter groups, Primary and fallback, Handling duplicate meters, and Merging meters for the full workflows.
The Primary ID is not a separate fixed name — Nectar selects it from the identifiers stored on that meter. Your account can define which identifier types to prefer (primary and secondary). If you add or edit an identifier, change those account settings, or a new bill supplies a value for a preferred type, the Primary ID can update even though it is the same meter. Set a Display ID if you want a stable label in lists that does not follow identifier resolution. See Primary ID in the glossary for the full definition.
Utility source data and commodity types can differ by provider. Standardized analytics fields may differ from raw bill values; check both when reconciling.
Check Data Input FAQ for collection issues, then Data Quality FAQ for validation and completeness gaps.
Merge is for accidental twins — two rows that should have been one, on the same account. On Data Inventory > Meters, select the rows, choose Merge meters, and complete the merge preview. If the meter number or billing account changed, link instead. If a utility meter and a supplier meter overlap, or an upload overlaps a connection, Mark as duplicate — or group them as primary and fallback when grouping is enabled. Those two actions solve the same double-counting problem. See Meter detail.
Selectors and compact pickers let you verify the right bill, account, or meter before you commit. Preview opens the sheet; open in new tab jumps to the full page—useful when filling forms or reconnect flows.
Product notifications use the Notifications inbox in the sidebar (bell). Email and other channels are configured separately under Personal settings. The inbox is for messages generated inside the platform, not for raw utility email forwarding.
Open the record and click Edit. For meters, set Display ID; for accounts and connections, set Name. Leave the field blank to show the usual derived label again (Primary ID, account number, or utility provider name). These labels are for display only — they do not change bill matching. See Display ID and Name.
The Primary ID is controlled by the account’s Primary identifier setting. Open Data Inventory > Accounts, find the account, click Edit, and set Primary identifier to the type you want (e.g., “Meter” for meter serial numbers). See Controlling which identifier is displayed.
